2025 Updated Hadron Travel Policy

Hadron Global Travel & Expense Policy for Hadron 2025 Retreat – Waldorf Astoria Chicago Sept 29 to Oct 2, 2025

General Travel Principles:
Policy applies to all Hadron employees (US & UK)
Travel is supported if there is a strong business case. All travel should be approved by a Manager before booking has occurred.
Policy aims to drive consistency and minimize costs
Employees should always ask “Would I pay this much if it were my own money?”

Travel Guidelines:
Please book airfare as soon as possible once you know you will be attending the event.
If possible, please coordinate ride share transportation with fellow employees if you arrive in Chicago at the same time. Also, feel free to reach out to Marah for help coordinating rides and other flight times.
Accomodations for the retreat will be paid by Hadron for Monday September 29th through Wednesday October 1st with check out on Thursday October 2nd. Additonal nights prior to or after the retreat will be the responsibility of the employee.

Travel Expense Limits:

Airfare Domestic - $1,000/£800
Aifare International - $4,000/£3,500.00
Economy is to be used for flights under three (3) hours
Premium Economy may be used for flights between three (3) hours and five (5) hours
Business Class may be used for flights greater then five (5) hours
Employees should always try and be reasonable when booking flights
For employees who choose to drive their personal vehicle to the event, they will be reimbursed for mileage to and from along with parking Monday thru Thursday
Breakfast $30/£25, Lunch $50/£40, Dinner $75/£60 Per Person
Ride Share - $150/£120 Per Ride, Per Person
